Make-Up Request Email
Please send an email to swim@apexaquaticclub with a screenshot that you are currently will be absent and would like to preper to have a make-up.

As shown in the example screenshot, please include the following details in your note:

Program name and code you are currently registered for

Program name, code, and location you are requesting

Practice time and the day(s) of the week for the requested program
This information will help us process your request accurately and without delay.

You must receive a confirmation email from us that your make-up is successfully set.

Make - Up Policy

At APEX Aquatic Club, we believe in the importance of consistent practices for our beginner swimmers who register our Racer programs. While our program typically doesn't provide make-ups, we would like to support our swimmers in maintaining their training. Our aim is to provide make-ups as much as possible, understanding that it might not cover all missed sessions. Nevertheless, our goal is to encourage swimmers to practice as much as they can consistently, even if it's not the entirety of missed practices. This approach aligns with our commitment to facilitating continuous improvement.
At APEX Aquatic Club, we understand that life can sometimes get in the way of attending scheduled swim practices. To accommodate such situations, we provide limited make-up opportunities for select programs that runs by a semester. Please note that not all programs are eligible for make-up practices.

We also understand that life events and unexpected situations may sometimes prevent swimmers from attending practice. To accommodate such cases, we provide limited make-up opportunities for select Racer programs that run by semester. Please note that not all programs are eligible for make-up practices.
To help us schedule make-ups properly, please make sure that all information you provide is accurate and complete.
Important Notes

Same Group Only: Make-ups are only available for the exact same group in which your swimmer is registered.

Program Eligibility: Make-ups are available only for specific Racer programs.

Exclusions: Adult and family swim programs do not offer make-ups.

Semester Boundaries: Make-ups must be scheduled within the same semester as the missed practice. A limited number of make-ups are allowed per swimmer each semester (Fall, Winter, Spring).

Season Reset: At the end of each season (Fall, Winter, Spring, Summer), any unused make-ups will be reset. They will not carry over to the next season, regardless of the circumstance (including early withdrawal, illness, injury, relocation, practice cancellations, or other reasons). Refunds will not be issued.

Practice Cancellations: A credit is available only when APEX cancels a regular practice.

Fixed Scheduling: Once a make-up schedule has been set, it cannot be changed.

Procedure: Families must follow the make-up request procedure exactly. Without a confirmation email, a make-up cannot be scheduled—even if the swimmer shows up at a practice.
Purpose of the Policy
This policy is designed to:

Ensure fairness and consistency across all programs.

Encourage consistent attendance to build strong swimming habits, technique, and endurance.
For year-round swimmers, make-ups are handled on a semester-by-semester basis to better accommodate other activities while keeping a clear structure for training.

If you are registered for one Racer program that runs eight practices per week during the Fall, you are eligible for up to one make-up session. If you are also registered for another program on different days of the week, you are eligible for one additional make-up session. After completing the first four consecutive practices, you will begin earning make-ups starting from the second set of four practices.

Please note that make-up practices are only applicable to the specific day and program for which a swimmer was originally registered. They cannot be transferred between different days or programs. For example, if a swimmer is registered for Tuesday and Thursday programs but misses three Tuesday sessions during a 12-practice program, they are eligible for two Tuesday make-ups. Absences on Thursday do not add additional make-ups. Therefore, the maximum number of make-ups available for Tuesday in this case is three, not five (three from Tuesday and two from Thursday).

This make-up policy is designed to provide limited flexibility for families when unexpected absences occur, while also ensuring fairness and consistency across all swimmers. It applies only to beginner programs for sessional swimmers.

We strongly encourage all swimmers to attend their scheduled practices consistently to maximize skill improvement and overall performance. Make-up sessions should be reserved for genuine emergencies that prevent attendance. We firmly believe that maintaining a consistent practice routine is essential for achieving long-term swimming goals and overall success in the sport.
